Privacy Policy
Last updated 4 September 2026
This policy explains what information PrimrxERP collects, why we collect it, and what we do with it. It covers both this website and the PrimrxERP application.
Information we collect
We collect only what the service needs in order to work.
- Account information. When an account is created for you, we hold your name, email address, phone number and the role assigned to you. Passwords are stored as a one-way hash and cannot be read by us or recovered.
- Business records you enter. Products, sizes, packing types, stock movements, bills, and the details of farmers and suppliers you record. This information is entered by you and belongs to you.
- Enquiries. If you use our contact form, we keep the name, email address, phone number and message you send so that we can reply.
- Technical information. Standard server logs, and the IP address attached to a contact form submission, which we use to identify abuse of the form.
How we use it
- To provide the service, and to show each user the records they are entitled to see.
- To authenticate you and keep your session secure.
- To reply to enquiries you send us.
- To diagnose faults, and to keep the service secure and available.
We do not sell your information, and we do not share it with third parties for their own marketing.
Who can see your records
Access inside the application follows the role assigned to your account. An Admin sees their own catalogue, stock and bills. An Owner sees what their Admin has given them. A Super Admin can see across the system in order to administer it. Members of our team may access records where necessary to provide support or investigate a fault.
Cookies
We use cookies that are necessary for the service to function — keeping you signed in, and protecting forms against cross-site request forgery. Blocking these will prevent you from signing in.
How long we keep it
Business records are kept for as long as your account is active, and afterwards for as long as needed to meet legal and accounting obligations. Contact form enquiries are kept while they are relevant to answering you and for a reasonable period after. Some records are retired rather than erased, so that historical bills and stock movements remain consistent.
Security
Passwords are hashed. Access is restricted by role. We take reasonable technical and organisational measures to protect information against loss and unauthorised access. No system can be guaranteed completely secure, and we do not claim otherwise — if you believe your account has been compromised, contact us immediately.
Your rights
You can ask us to:
- tell you what personal information we hold about you;
- correct information that is wrong or incomplete;
- delete information, where we are not required to keep it;
- provide a copy of the information you gave us.
If your account was created by an organisation you work for, some of these requests may need to go through them, as they control those records.
Changes to this policy
We may update this policy. The date at the top of the page shows when it last changed. Where a change is significant we will make it clear rather than relying on that date alone.
